    Parts Sales/Service Writer (New Mexico)

    Job Title: Parts Sales/Service Writer (Albuquerque, New Mexico)
    Reports To: Branch Manager
    FLSA Status: Non-Exempt

    Position Purpose:

    We are seeking goal-oriented, self-directed PARTS SALES/SERVICE WRITER. Working under direct supervision, follows detailed instructions and reports any deviations to manager. Must be a multi-tasker and be able to take on several tasks at any given time. Must demonstrate strong customer service and communication skills and have a desire to deliver the best customer service possible to both internal and external customers. Requires basic knowledge of computer equipment and a multi-line phone systems. Demonstrates proficiency with standard office equipment.

    Essential Job Functions:

    • Greets and directs all visitors and customers
    • Answers and screens all calls and directs all incoming calls to appropriate personnel
    • Handles all incoming and outgoing mail.  Opens, date stamps and distributes to appropriate personnel
    • Maintains the cleanliness of the office and surrounding area

    PARTS

    • Answers incoming calls, attending to parts orders, assisting customers, and seeks opportunities to promote additional sales
    • Utilizes online and offline catalogs, software programs, and other resources as needed to determine the correct parts for the customer
    • Keep a “Quick Reference” guide for all common parts; this helps aid in assisting customers as quickly and efficiently as possible
    • Accurately identifies the correct part numbers, promptly completes each sale, recommends additional needed items, extends upselling when possible, and confirms with the customer the desired freight options and cost
    • Professionally handles customer complaints in a courteous manner and alerts management when additional action is needed
    • Assist the service department with parts needs and provides support as needed
    • Assists in all aspects of parts inventory control including the annual parts inventory
    • Has a can-do attitude and contributes to the success of the Power Screening team
    • Examines goods shipped and verifies completeness of shipments against bill of lading, invoices, and other records.
    • Route incoming shipments/goods to respective departments
    • Counts and compares quantity and identification numbers of units against order
    • Reads work order or follows oral instructions
    • Loads and unloads materials onto or from pallets, trays, racks, and shelves by hand or fork lift
    • Prepares products for shipment
    • Actively supports safety policy, goals, and objectives plus uses sound environmental practices
    • Performs other duties as assigned by the manager

    SERVICE

    • Issue and establish work orders for the Service department
    • Coding vendor invoices in a timely manner for the accounting department
    • Keying vendor invoices into internal and external work orders
    • Interpreting and entering mechanic notes daily for field jobs & shop
    • Summarize mechanic notes for customer invoice (cause, complaint, correction)
    • Deduct parts returns from open work orders as submitted, to maintain accurate inventory
    • Obtain Purchase Orders for customer billing on jobs where one is required
    • Performs other duties as assigned by the manager

    Computer Skills:

    Requires basic knowledge of computers and the ability to learn software programs that are specific to the industry.

    Education:

    High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
